Rules regarding travel and subsistence for Social Platform members

As a pan-European organisation based in Brussels, Social Platform tries to ensure and facilitate the representation of members based abroad at the meetings and events we organise by covering or reimbursing the expenses of member representatives travelling, mostly to Brussels but also in other EU member states (for instance, in the context of national conferences).

In this context, the following rules apply regarding travel and expenses claim:

Statutory meetings:

  • Spring General Assembly: We guarantee the covering of expenses of up to two member representatives travelling from abroad, provided that no Brussels-based representative can attend the meeting.
  • Steering Group meetings and Autumn GA: We guarantee the covering of expenses of up to one member representative travelling from abroad, provided that no Brussels-based representative can attend the meeting.

Other meetings and events (e.g. Task Force meetings, national conferences, etc):

  • We try to ensure the participation of up to one representative of each member travelling from abroad, provided that no representative based in Brussels or in the country where the event is organised can attend the meeting/event. However, prior to registering and organising travel, all members intending to claim expenses for their participation in these meetings/events are requested to check beforehand with the Secretariat (suzanna.fuino@socialplatform.org) whether their expenses can be covered.

We encourage you to read the guidelines and to use the expenses form to claim your expenses.
